Job Description
This position is responsible for the development, compliance, communications and administration of employee benefit plans. Benefit plans include: health, dental, vision, life/AD&D, optional life, Short and Long Term Disability, flexible spending accounts, 401(k), Non-Qualified Deferred Compensation Plan and voluntary benefit offerings. This includes effective management of external partners and vendor relationships. Vendor relationships include: Fidelity Investments, United Healthcare, Aflac, Newport Group and AON consulting, among many others. There is significant Workday/systems administration accountability.
Key Responsibilities;
Benefit Plan Analysis (in partnership with the VP, Total Rewards):
– Continuous evaluation of costs and potential cost savings
– Continuous evaluation of legislative changes that require plan modifications.
Benefit Compliance
– Timely filing of all ERISA required legal documents to include SAR’s, 5500’s, SPD’s, plan amendments.
– Coordination of internal and external audits associated with benefits.
– Modification of plan documents upon any changes.
– Facilitation and recordkeeping of all Retirement Plan Committee Meetings.
– Serves as HIPAA primary point of contact in coordinating and implementing annual HIPAA training and training for new hires. Ensure HIPAA policies and notices are continually updated and distributed appropriately
– ACA compliance
Benefit Communications:
– Development (and or coordination with external vendors) of written mass communications, enrollment materials, presentations, webcasts associated with benefits.
– Distribution and posting of all communications to relevant sites
Benefits Administration:
· Provides administrative support to ensure consistent and compliant measures to help track, monitor and plan benefit programs, as well as overseeing that all core and ancillary benefit plan documents are updated annually and posted/distributed accordingly
· Handles all benefit questions/inquiries/complaints and follows-through with solutions through subject matter experts
· Ensures that enrollments are approved timely by BSC
· Coordinates all activities associated with open enrollment
· Collaborates with HRIS to help create interface files and/or research results of interface file defects. Take technical lead on implementation of new benefit programs or changes to existing benefits programs
· Fiduciary/Plan Administrator for the 401(k) Plan
· Responsible for Annual Plan Audit, Financial Statements and Form 5500
· Audit payroll deductions to monthly invoices
· Oversees the details of COBRA administration completed by 3rd party administrator
· Manages creation of data files for any benefits-related census reporting, annual Non-Discrimination Testing, monthly hours worked, periodic surveys and other similar periodic audits or projects that arise
· Manages the Benefits Annual Calendar
· Reviews monthly billing reconciliations with 3rd party administrator
· Liaison with Accounting for benefit-related needs
· Acquisition initial gap analysis, followed by tactical integration of benefit plans
· Processes Leave of Absence (FMLA and unpaid) for US eligible employees
· Administers short and long term disability applications; including premium waiver for long term disability applications
· Processes life insurance claims and optional life insurance claims
· Consults with employees on employee lifestyle changes that permit employees to modify existing benefit elections
· Ensures that all vendor feeds are timely and accurate
· Manages outsource provider by monitoring service level agreements
· Assist with Wellness initiatives
This position has a major impact on the organization due to the high cost of benefits. Decisions are critical for employee retention and cost effectiveness.
This position manages 1-2 benefit support staff, but is responsible for the outsourced call center activity.
Requirements:
Bachelor’s Degree
Certification in Benefits is a plus
7+ years of experience in a corporate environment dealing with a multitude of employee profiles (office staff, retail, truck drivers)
Global benefits a plus.
