POSITION DESCRIPTION:
BASIC SUMMARY:
Monitor control of inventory management for Information Technology Department (IT) including hardware, software and documentation throughout product life cycle. Assist with shoreside procurement functions and monitor team queue in ticketing and email system.
DUTIES AND RESPONSIBILITIES:
Monitor daily ticket queue for new and replacement equipment requests and workflows. Receive IT assets and document inventory status in purchasing system and configuration management database. Update status regularly to ensure new equipment information is current and verified. Obtain approval from department executive to deploy new equipment.
Track warranties, licenses and service agreements of hardware and software equipment in configuration management database. Document all IT Assets throughout entire life cycle, from production to retirement.
Verify authorized and identifiable configuration items are accepted and recorded in the configuration management database. Audit configuration process to verify information is accurate in database for compliance purposes.
Follow guidelines of ITIL framework and implement closely into daily responsibilities to include: Identification, Control, Status Accounting and Verification.
Monitor stock of inventory weekly and place request for replenishment when stock reaches a low threshold, per pre-established guidelines.
Produce and distribute monthly procurement report from the purchasing and configuration database system. Deliver report to upper management to help forecast future equipment orders.
Work with vendor on the return process for defective assets and coordinate efficient replacement of equipment.
Gather, prepare and organize configuration database reports monthly and quarterly for compliance purposes and Internal Audit review.
Monitor Configuration and Asset Management emails as well as configuration database for new hardware and software requests. Identify and document requests as received and issue a queue ticket for scheduled installation.
Coordinate and schedule monthly destruction of retired hard drives for removal of corporate data, according to pre-established procedures.
Perform other job related functions as assigned.
QUALIFICATIONS:
EDUCATION:
Bachelor’s Degree in Computer Science or related field of study; or any equivalent combination of experience and training and/or certifications. ITIL Certification preferred but not required.
EXPERIENCE:
1 – 3 years of related work experience in an asset management department, helpdesk or desktop support.
KNOWLEDGE AND SKILLS:
Knowledge of or ability to maintain good understanding of the ITIL framework and follow guidelines closely. Good working knowledge of desktop, server, network concepts including certain specific hardware specific models. Intermediate-level knowledge using Windows XP or higher and Microsoft Office 2003 or higher. Ability to identify appropriate resources and diagnostic tools with guidance for problem determination and resolution. Good communication and organizational skills – both written and verbal. Ability to train team members in the configuration management database procedures. Ability to work well under pressure and convert technical challenges and solutions into general terms for presentation and notification purposes. Good command of English and business writing skills sufficient to compose corporate emails, policies and procedures. Ability to maintain confidentiality when working with corporate inventory assets. Good understanding of a computer system and its components. With reasonable accommodation, ability to sit for long periods of time to monitor email ticket queues.
